    This initial pool membership application is to be completed by an adult, age eighteen or older, who is a household member at the requesting address.

  • This form is only to be used for INITIAL pool membership pass requests.

    Tudor Branch Residents: A completed membership application must be submitted to permit same day pool access.  Once this online application is submitted, a confirmation email will be sent to the primary email address you provide.  Proof of ownership will be required during your initial pool visit and Tudor Branch residents may use this electronic confirmation as a temporary pool access pass until your permanent membership passes are produced. This pass production may take four to seven days from the date in which this completed pool membership application is submitted.  Email poolmembership@tudorbranch.info if you wish to check the printing status and speak to an on-duty Pool Attendant to obtain your printed member passes.

     

    Read paragraphs below for supplemental pool membership pass request information.

    Renew EXPIRED pass or NEW household member: Once initial pool membership pass(es) have been issued, simply send an email to poolmembership@tudorbranch.info to request a new household member pass or to replace an expired member pass.  All household pool passes which expire during the same pool season may be renewed immediately prior to the earliest member's pass expiration date. Proof of residency may be required for new household member requests. Please include the following in your email request: your address, a current selfie (if age 10+) picture, first and last name, birth month and birth year.

     

    Replace LOST Pass: Once initial pool membership passes have been issued, simply send an email to poolmembership@tudorbranch.info to request replacement of a lost member pass ($10 fee per lost member pass or $25 to replace all lost household member passes) or request additional pool member passes for (age five and older) new household members. 

    Lost pass fees must be paid to the Community Manager at the clubhouse. Email communitymanager@tudorbranch.info to establish a meeting date and time to pay for your replacement pool member passes.  If replacement passes haven't been pre-printed nor can be immediately printed, the Community Manager will notify the Pool Manager that payment has been received so pass(es) can be obtained from an on-duty pool attendant.

  • General Pool Membership Information
     
    POOL SEASON INFORMATION
    Payment of annual HOA dues includes one family pool membership per property address. The Tudor Branch pool opens each season on the first Saturday in May, closes the fourth Saturday in September, and is typically available for use (daily for adults age 18+ beginning at 5 am) by all in good standing: property owners or their tenants, resident sponsored Associate Pool Members, and their authorized invitees.
     
     
     
    OBTAINING ELECTRONIC ACCESS KEY FOB
    Access to pool typically requires purchase of an electronic key fob if you wish to ensure your own ability (not having to rely on other pool patrons to open a pool gate for you) to enter the pool gates. However, individuals visiting the pool who are five years of age or older will need either a member or guest pass. Therefore, possession of a fob does not guarantee access as a guest or member.  Note: Pool attendant will NOT leave their assigned post to open a gate for you if any minors are in the pool, nor should there be any expectation that another member will open a pool entry gate for you.
    Each electronic access key fob is $20. - NO REFUNDS.  Up to two active key fobs may be assigned per member property address.
    Lost fob replacement may require member to present second active fob to determine proper deactivation and reissuance.  Fob(s) being transferred from previous pool member to new member will incur a $10 per fob reassignment fee.  Key fobs may be purchased at the clubhouse by emailing the Community Manager at communitymanager@tudorbranch.info to schedule a meeting date and time, or at our community management's office (Association Link address provided below) and will require an adult (age 18+) household member to sign a liability waiver.

     

    ASSOCIATE POOL MEMBERSHIPS 
    A limited number of "outside" Associate Pool Memberships, resident sponsor required, may be purchased each swim season on a first come, first served basis. Family seasonal pool memberships are $400 if purchased before July 1st OR $300 if purchased on or after July 1st. And if you wish to ensure your own ability to access the pool without having to rely on another pool patron to unlock a pool gate for you, an additional one time $20 purchase of an electronic access key fob will be required. Up to two fobs may be purchased per member property address and these electronic keys will be reactivated when you rejoin each pool season. To apply for membership, please complete this online application and specify your resident sponsor by providing their: name, Tudor Branch property address, and email address.
     
    MEMBER PASS INFORMATION
     
    Member Passes
     
    All pool members attaining age five (during current calendar year) and older will be issued a Tudor Branch pool membership pass.
     
    All member passes will display first/last name and for those under age eighteen, their birth month and birth year. All passes issued to members age ten and older must display a headshot or selfie photo. Member passes for those under age ten will not have a photo displayed. No passes will display a property address.
     
    Six age categories will be used by the HOA during pass issuance and initial assignment of pool membership passes will be based on the attaining age during the calendar year in which this membership request is being submitted. For example, you are completing your initial membership request in April and your child is turning age five in October so he/she will be assigned an initial age category pass type of "Minor" which covers from ages five to nine.
     
    These ID passes are provided complimentary by the HOA; however, replacement costs for lost member photo ID passes are $10 each or $25 to replace all houshold member passes. Fee will be paid to the Community Manager at the clubhouse. Email communitymanager@tudorbranch.info to schedule a meeting date and time. 
     
    Replace a damaged member pass:
    Damaged photo ID passes will receive complimentary replacement if damaged pass is returned during member pass replacement process.  Simply deposit your damaged member pass into the drop box located beside left front door of the clubhouse and send email to poolmembership@tudorbranch.info to have it replaced or alternatively meet with the Pool Manager to obtain replacement(s).
     
    Guest Passes
     
    Each pool guest (age five and older) will require either a daily OR seasonal guest pass for pool entry. Each type pass is valid for one person per pool entry. Guests under age five do not require a pass and no guest fee will be assessed.
     
    Seasonal Guest Pass Information: 
    Each pool member property address, in good standing, will receive two complimentary seasonal guest passes each pool season.  These can be used by Nanny's, visiting relatives and friends, and so on. Each seasonal guest pass permits unlimited pool entry for one person throughout swim season. And each pool season, a maximum of two additional seasonal guest passesm i.e., a maximum of four seasonal guest passes may be issued to a property address each pool season per member property address may be purchased. Purchase price per seasonal guest pass: $100 if purchased before July 1st, $75 if purchased during July, $50 if purchased during August, and $25 if purchased during September.     Daily Guest Pass Purchase Information:
    Each daily guest pass selection provided below permits the member to purchase that option for up to five people. For each option a start pool usage date must be selected at time of purchase. Guests under age five do not require a pass.  All members are limited to five guests per day if using a daily guest pass for pool entry. 
     
    Option one:  $3 per person permitting pool usage for one day
    Option two:  $5 per person permitting pool usage for two consecutive days
    Option three:  $7 per person permitting pool usage for three consecutive days
    Option four:  $9 per person permitting pool usage for four consecutive days
    Option five:  $10 per person permitting pool usage for five consecutive days
     
    Adult pool members have the option to schedule a meeting date and time with the Community Manager by emailing communitymanager@tudorbranch.info to pay in person, or property owners may complete the "Owner Online: Daily Pool Guest Pass Purchase Form" using the weblink provided within the "Residents Pool & Clubhouse Folder" on the community website www.tudorbranch.info  The purchase total will be added to property owner's account.  An electronic daily pass purchase record will be emailed to you once request is processed.  This email record will serve as your daily guest pass(es).
     
    Pool Party Information 
    A member planning to sponsor ten or more guests (during the same day) is considered by the HOA to be hosting a pool party which must be requested and approved in advance by our Reservations Scheduler. Residents should click on "Reservations" link on the owner dashboard at www.tudorbranch.info to electronically reserve a pool party date and time.  Associate Pool Members should contact community management to complete the pool party reservation process or contact the Community Manager at communitymanager@tudorbranch.info for assistance.

  • POOL MEMBERSHIP SUBMISSION INFORMATION

  • Before you begin your online submission please review the following: 
     
    1. You will need the name and birthdate (month and year only) of all household members.
     
    2. You will need to submit a photo during this submission process or email it to poolmembership@tudorbranch.info providing the name of the person in the photo and their member address.  A current photo or 'Selfie' must be on file for all pool members who are attaining age ten (10) or older during the calendar year in which this request is being submitted. Please note that the picture must clearly show that person’s face. 
     
    3. You must list each person residing in your household. Member passes will only be granted to those family members who reside full time within the home during the summer months e.g., child or college student home for the summer. The Tudor Branch HOA reserves the right to request proof of residence.
     
  • Landlord & Tenant Information

    Pool membership to tenant or landlord is at property owner's discretion. Only one family pool membership is provided per community address. If landlord owner elects to maintain pool membership then tenant will have to join as an Associate Pool Member. Landlord owner must complete the "Owner Leasing: Relocation Notification Form" and will be required to submit their decision regarding issuance/retention of pool member passes. Electronic form is available on the Owner's page using the "Online Forms" weblink at www.tudorbranch.info  

    Owner is also required to establish a tenant account on the HOA website, with a lease termination date, by performing the following: login into the community website at www.tudorbranch.info and click on "My Account" followed by "Settings." Next, under the settings tab, click on "Renter Accounts" followed by "Add Renter Account."

    Upon creating a renter account the community website will automatically send a welcome email with login credentials to the tenant.

    Summary: Owner will be required to establish a tenant account on the HOA website and submit a pool membership issuance/retention decision.

  • ACKNOWLEDGMENTS AND SELECTION OF PASS REQUEST #

  • Each membership submission will be limited to ten family members per household.  If you have additional household members beyond this limit you will need to email the HOA board at board@tudorbranch.info for authorization to exceed the ten per household limit.  Note: Tudor Branch HOA reserves the right to request proof of residence.

  • Family membership passes may be picked up by an adult (age 18 or older) household member by providing proof of residence; however, membership requests which contain more than four adults per household will require each adult to pick up their member pass and provide proof of residence.

  • Remember, for initial membership requests, the child's attained age during current calendar year in which membership request is being submitted will be used by the HOA to determine pass type issuance. For example, your child will attain age 16 in October of this current year; therefore, the HOA will assign him/her a Teen Sr. member pass valid for ages 16 - 17 even though the current month may be June.

  • A photo or 'selfie' must be on file for all pool members who are turning 10 years of age or older during the current calendar year. Please note that the picture must clearly show that person’s face. Members age 10 and older will not be admitted to the pool without a photo on file with the HOA. To expedite generation of membership passes, a photo for each household member age 10 or older should be attached to your application using the provided links. Photos may be submitted after completion of this application but will lenthen the time required to generate your pool membership pass(es). If you need to submit photos after completing this online membership application you may email the photo(s) to poolmembership@tudorbranch.info  And if you are emailing your photo(s), please provide the name of the individual along with the picture and his/her member address.
     
  • Applicants that are designated as Teen Sr. (Age 16-17) WILL be granted unaccompanied access to the pool and can serve as an escort for those who are under the age of 16 during posted community pool hours when a pool attendant is on duty. If pool attendant is not on duty then all persons under age 18 will require continuous escort by someone age 18 or older.
     
  • Applicants that are designated as Teen Jr. (Age 13-15) MAY be granted unaccompanied access (normally limited to age 16 or older - Teen Sr.) to the pool if "Solo Swimmer" authorization is requested by parent/legal guardian. If Solo Swimmer status is approved then this will permit entry and exit to pool and clubhouse facilities at his or her discretion during pool hours in which a pool attendant is on duty. Any person who chooses to accompany the Solo Swimmer whether guest or member must be age sixteen or older. Solo Swimmers are not allowed to serve as escorts. Reminder: If pool attendant is not on duty then continuous escort by someone age 18 or older will be required.

  • By selecting "YES" under unaccompanied access (for Teen Jr. age category) you are giving permission for your child to become an authorized Solo Swimmer and enter the pool facility unaccompanied.
     
    In order to be approved as a Solo Swimmer and be granted Teen Jr. unaccompanied access, Teen Jr. must pass a swim proficiency examination (while in the presence of parent/guardian) which will be given by our pool attendant staff.  You will need to contact our pool services staff (in person or via email to our Pool Attendant Staff Manager at tudorbranchpool@gmail.com) to setup a swim examination. Upon successful completion of the swim exam, a special "Solo Swimmer" membership pass will be issued.  This Solo Swimmer authorization, once approved, will be considered valid for subsequent pool seasons unless: Teen Jr's actions result in suspension of privileges, parent/legal guardian submits a written termination request to pool attendant staff, loss of membership due to relocation, family privileges are suspended due to community covenant violations, or Teen Jr. attains age sixteen.

    Associate Pool Membership applicants will be notified by the HOA via email if membership application has been denied. If approved, membership will not be effective until payment is received in full by the HOA.
