#2: Email, Internet, and Social Media Policy
This policy establishes general guidelines for employees or anyone else who may be given access to Grace Community Church’s IT areas/files, either on site or from home using personal equipment to conduct Grace business.
These workplace-related tools and equipment are intended for business purposes.
Grace’s electronic media are not to be used for any unauthorized purposes, including;
The transmission of abusive, defamatory, obscene or racist communication.
The searching for, perusal and/or downloading of pornographic or other objectionable material.
Offensive material through the internet
The transmission of sensitive information about an individual.
Where such transmission would, or would be likely to, place the church in breach of the Privacy Act of 1993 or be in contradiction and violation of the Grace Mission, Vision and Values, Sexual, and/or other harassment policies of the church.
All new hires are provided a detailed copy of the Email, Internet and Social Media policy.
Grace provides an e-mail system to facilitate the transmittal of business related information within the church organization as well as with outside vendors, attendees, and other church related business associates.
The e-mail system is intended for church business use only. The use of the church’s e-mail system to solicit fellow employees or distribute non-job-related information to fellow employees or information that is defamatory, discriminatory harassing or pornographic in nature, or including any ethnic slurs, racial epithets or anything which could be construed as harassment or disparaging to others or that is in conflict with any of the Grace Vision, Values, Plumb lines, or Biblical standards is strictly prohibited.
Employees shall not use unauthorized codes or passwords to gain access to others files. All e-mail passwords must be made available to the church at all times. Please notify your campus pastor or ministry leader if you need to change your password.
All Grace supplied technology and Grace–related work records belong to the church and not to the employee. Grace reserves the right to enter, search and/or monitor the church e-mail system and the files/transmission of any employee without advance notice and consistent with applicable state and federal laws.
Employees should not open suspicious or unknown emails, pop-ups or downloads. Contact IT immediately with any questions or concerns to reduce the release of viruses or to contain viruses.
Employees may not copy, retrieve, modify or forward copyrighted materials, except with permission or as a single copy to reference only.
The Internet is intended for church business purposes only. The use of the church’s Internet access for non-job-related use, searches and/or solicitations is strictly prohibited. Employees are also prohibited from displaying, transmitting and/or downloading sexually-explicit images, messages, ethnic slurs, racial epithets or anything which could be construed as harassment or disparaging to others, or that is in conflict with any of the Grace Vision, Values, Plumb lines, or Biblical standards.
We do however understand, that at times, it may be necessary for an individual to access the internet for limited but important personal business during work hours. This is permissible, but, consistent with applicable federal and state law, the time you spend on the Internet is tracked through activity logs for church-business purposes. All abnormal usage will be investigated thoroughly.
Employees should immediately notify Management of any violations of this policy. Violations of this policy will be subject to disciplinary action, up to and including termination of employment.
Social Media includes but is not limited to Facebook, Instagram, Twitter, Blogging, Orkut, Hi5, LinkedIn Microblogging, Google Buzz, and YouTube, to name a few. This policy applies to any new Social Media venues that may become available in the future.
Employees may not post financial, confidential, sensitive or proprietary information about the church, members/attendees, employees or applicants.
Employees may not post obscenities, slurs or personal attacks that can damage the reputation of the church, members/attendees, employees and/or applicants.
Grace Community may monitor content out on the internet. Policy violations may result in disciplinary action up to and including termination of employment.
