  • If you have taken the required Trip and Overnight Planning Training, you are approved to coordinate trips following the council guidelines and Safety Activity Checkpoints. Simply submit this notification form:

    One Month Prior to Trip:

    • Day trip - more than 100 miles from your regular meeting location (except when you reserve a Girl Scouts of Western Ohio property or participate in a staff-led event)
    • Overnight trip - 1 to 4 nights (more than 100 miles)
    • High Risk Activity

    Six Months Prior to Trip:

    • Extended trip - 5+ nights
    • International Trip

    Contact your Program and Partnerships Department when planning begins for extended and international trips.

  • * Girl Scouts may not rent vehicles that carry more than 12 passengers, unless contracting through a commercial transportation business who provides professional drivers (e.g. school bus providers).

    Please note, 15-passenger vans are not acceptable transportation.

  • Emergency Contact Information

  • An emergency contact person is usually the troop leader or another person designated by the troop leader.

  • An emergency contact person for overnight/extended trips is someone who is not going on the trip and is designated to contact parents/guardians if there is an incident or change in travel plans.

  • By signing and submitting this form, I acknowledge that as the troop leader, I am responsible for:

    • Meeting training requirements.
    • Collecting written parent permission, health histories and medication permission.
    • Ensuring all participating adults have completed the Volunteer Application Process and are registered Girl Scout
      members.
    • Ensuring all girls participating are registered Girl Scout members.
    • Following all safety activity guidelines including acquire additional insurance and certificates of insurance when
      necessary.
