Information and Expectations for Exhibitors
Set-up/Tear Down: Exhibitors may begin setting up at 7:00am each day of the event. Vehicles may pull up near the tent entrances for loading only. There is abundant lot parking on site.
If you will be using electricity, please bring a heavy-duty extension cord.
All booths should be complete and ready for business by 11am each day.
Booths should be staffed during the functioning hours of the Migration Marketplace. IDBF is not responsible for any booth displays or items left unattended.
Booths may not be torn down prior to the close of the Marketplace on any day. Exhibitors will have 2 hours after the close of the Marketplace to tear down (times vary based on daily Marketplace hours).
Merchandise is NOT secure during the overnight hours. Exhibitors should expect to tear down at the end of each day.
Cancellation Policy
Exhibitor cancellations received in writing prior to April 1st will receive a full refund, minus a $25 processing fee.
No refunds will be issued beginning April 1st.
If IDBF cancels the event, exhibitors will have 3 options:
- Donate all or part of the registration fee to the Indiana Audubon Society (503c non-profit). Vendors will be offered priority registration for the Migration Marketplace the following year.
- Roll-over the balance paid and secure a booth space in Migration Marketplace the following year.
- Receive a full refund.
Additional Details
All exhibitors shall conduct business in accordance with all laws and highest standards of business ethics.
Indiana has a 7.0% sales tax rate. For more information about conducting business in Indiana visit IN Biz or the Indiana Department of Revenue.
Indiana Dunes Birding Festival reserves the right to decline and prohibit any booth or part of a booth which in its opinion is not proper or in accord with the purpose of the Migration Marketplace. This reservation concerns persons, conduct, printed matter, or any other thing which may affect the exhibit.
IDBF will exercise reasonable care for the protection of the exhibitor’s materials and displays, but the exhibitor assumes all obligations of risk or loss. There is no overnight security on site. Exhibitors should expect to tear down at the end of each day.
Freight deliveries should be pre-arranged with the festival staff and delivered to the Indiana Dunes Tourism Visitor Center no earlier than Monday, May 8th. Contact Kristen Sweinhart at idbfmigrationmarketplace@gmail.com.
Smoking is prohibited in the marketplace.
The IDBF monitors Covid-19 safety guidelines and recommendations set by the CDC as well as any state and local regulations. Exhibitors are required to comply with Covid-19 safety guidelines IDBF has in place at the time of the event.
Liability and Indemnities: The Exhibitor agrees to indemnify and hold harmless IDBF, its appointed and elected officials and volunteers while acting within the scope of their duties as such, from and against all claims, demands, loss, or liability of any kind and character, including costs of defense, arising out of or in any way connected with the Exhibitor's use of the facilities specified in this agreement.
The Exhibitor, named above, agrees to read and follow the rules and regulations of this entire agreement. This agreement is legally binding between the Exhibitor and IDBF, according to the terms and conditions specified herein upon written acceptance by IDBF. This constitutes the entire agreement between the Exhibitor and IDBF and no other agreements would be deemed to exist or binding upon either party. Any and all changes to this agreement must be in writing and approved by the IDBF. IDBF reserves the right to cancel this agreement at any time for any reason.
By participating in the Migration Marketplace, Exhibitors agree to allow names and images of the booth, staff, and products to be used for publicity or other purposes at the discretion of Indiana Dunes Birding Festival.
