How Our Private Trip Planning Service Works

1.Fill Out the Trip Intake Form

Provide all the details about your dream trip, including your preferences, ideal destinations, travel dates, number of travelers, and any other helpful information.

2.Pay the Trip Planning Fee

A non-refundable $350 fee is required to initiate the trip planning process.

3.Destination Recommendation & Timing

Once we receive your form and payment, we will carefully review the details you’ve shared and within 7-10 days (or less), a member of our team will contact you via email or Whatsapp Messenger to help find a destination that aligns with your preferences and vision for the trip.

4. Once you receive a proposal for your trip, you'll be able to make revisions up to 2 times.

5. Prices will be valid for 7 days from the time of proposal delivery.

6. If bookings are not confirmed within 30 days, any modifications or additional work will require another planning fee.

By completing these steps, you’ll give us the information we need to craft the perfect travel experience tailored just for you.

When planning a private trip, it’s essential to be realistic about what your guests can truly afford. We often find that while clients have a clear vision of the type of experience they want, the overall cost sometimes doesn’t align with the budgets of their guests.

This creates significant extra work behind the scenes—requiring multiple revisions, back-and-forth adjustments, and sometimes last-minute changes to logistics and accommodations. It can also impact the overall trip cost: if fewer people confirm or drop out, the total expenses (such as private transportation, tours, and staffing) are spread across fewer participants, which raises the per-person rate.

For the best outcome, we recommend:

Having an honest conversations with yourself first about who your guests are and their budget comfort level.

Considering a smaller group of confirmed travelers rather than building a large invite list with uncertain participants.

Our goal is always to deliver a seamless, memorable experience—but that’s only possible when we plan based on realistic numbers and budgets from the start.
