Vendors will be subject to Nevada state sales tax when applicable. As such, all participating vendors must be registered with the Nevada Department of Taxation and have a valid State Tax ID#. If it is discovered that you do not possess a valid ID or are forced to close by any government agency for non-compliance, the city of Las Vegas will not be liable and will not refund participation fees. Vendors may only exhibit in the medium(s) for which he/she was accepted and approved.
Vendors must post pricing information in a visible manner and space. Pricing must indicate if Nevada Sales Tax of 8.25% is included or excluded in item cost.
Please plan for sufficient inventory.
Vendor must provide public liability and property damage insurance naming the City of Las Vegas as additional insured in an amount not less than one million dollars ($1,000,000) per occurrence and two million dollars ($2,000,000) aggregate. The certificate of insurance must be received by the Office of Cultural Affairs no later than ten (10) working days prior to the event.
Vendor is solely responsible for any and all personal property at all times.
In order to maintain a professional and finished appearance at this event, vendors must provide their own table coverings, booth display systems, backdrops, and side panels to distinguish their displays from others. Parking and additional event information will be sent upon acceptance.
Surplus stock must be stored out of sight.
BOOTH INFORMATION & FEES
Booth spaces are within the Sammy Davis Jr. Festival Plaza and are covered cabana style without walls. Dimension size is approximately 12 ft. wide x 12 ft. deep x 9 ft. high. Participation fee is collected once accepted and includes one 8 ft. table and two chairs, if requested. You must provide your own display equipment, battery-operated lighting, and change for sales. No outside tents will be permitted. There is NO STAKING INTO THE PAVEMENT OR ON PARK GROUNDS! Participation fee is $50.00.
Be respectful to event volunteers and organizers. They are there to help everyone to ensure that all have a good experience. Vendors who are disrespectful to volunteers and organizers may not be invited or permitted back to future festivals and community celebration events, including but not limited to Dia de los Muertos Celebrations.
Bring your own battery-operated lights for your booth displays. Overhead lighting is provided by recessed lights, but not bright enough to illuminate your wares. Electricity is not available for use or provided in the festival plaza. Vendors will not be permitted to plug in tower lights. Quarts or fire-based lighting (candles, gas lanterns) and generators are not permitted.
If the event is postponed or partially impaired, no refunds will be issued, nor shall the City of Las Vegas be held liable. There is no rain date scheduled.
Booth location is assigned and determined by event organizers. Please do not move or relocate your booth to another area. When possible, returning artists will be placed in the same area as the previous year.
SET-UP TIME & BOOTH USE
Set-up will begin at 12 noon and all booths must be completed by 3:30 p.m. for inspection. Gates open promptly at 4:00 p.m. Details and schedule for set-up will be emailed to vendors two weeks before the event. Event participants will be scheduled at specific times at the unloading area. Vendor is required to be open and in attendance for the entire event. Closing before the end of the event or staying open after the end of the event is grounds for exclusion from future Office of Cultural Affairs and Parks & Recreation events. Vendors may not sublease, rent, share, donate, or allow another company or person to display, sell or advertise in their booth space.
Begins at 10:00 p.m. Vehicles will not be permitted in the loading area until the Festival Plaza has been cleared of attendees. Vendors must clean up after themselves and not leave anything behind: tables, chairs, boxes, food, bottles, trash, or any other booth items. Leave your space as clean or cleaner than you received it.
